Job Description:

The position will be based at WFP Field Office Quetta. At this level, the job holder is responsible for the completion of a range of specialized and/or standardized processes and activities requiring some interpretation of standard guidelines and practices. The job holder is able to recommend a course of action to staff at various levels and may allocate tasks to other support staff. The job holder works under minimum supervision, performs basic analyses and compiles reports to support information consistency and smooth implementation of programmes/projects.

The staff member will work under the overall supervision of the Head of Field Office, Quetta and under the direct supervision of the Programme Policy Officer (Livelihoods), Quetta.

Job Requirements:

The objectives of the Programme Assistant are to provide professional technical assistance and support for programme planning and implementation, data analysis, progress reporting, knowledge networking and support in achieving the planned objectives of the work plan, in alignment with Livelihood and DRR/DRM programme goals and strategy.

The Programme Assistant will be responsible of the following tasks:

  • Assist the Programme Policy Officer (Livelihoods) in preparing project documents/proposals related to Livelihoods, DRM/DRR and RAHA.
  • Provide support for strengthening coordination and partnership with government and other UN agencies for DRM/DRR, RAHA, CFW.
  • Assist in the organization and conduct of regular meetings with beneficiaries, community elders, CPs and provincial and district government on the cash/commodity pipeline, distribution arrangements, food and cash entitlements and other relevant issues to support effective communication flow and efficient operations.
  • Assist in the planning and organization of field missions to the targeted areas and project sites.
  • Support the organization of orientation sessions, workshops, reviews for CPs working on Livelihoods, DRM/DRR, RAHA.
  • Facilitate accurate and timely inputs/reports from CPs for M&E analysis and status reports.
  • Collect and ensure reconciliation of data for relevant programmes received from CPs and make it available for use in different reports.
  • Analyze the received reports/data to ensure achievement of objectives and suggest corrective actions when necessary to meet project objectives. Assist in the development and introduction of new approaches, methods and practices in project-management.
  • Prepare status and progress reports by providing information and background material for use in discussions and briefing sessions.
  • Provide inputs for compilation of the Monthly Operational and Monitoring Report by 15th of each month and make information available for provincial factsheet and other related purposes.
  • Coordinate with the service providers (bank) for smooth disbursements of funds to WFP beneficiaries (CFW).
  • Check invoices for accuracy and totals as well as expense details as per approved budget line items.
  • Upload monthly cash disbursement plans in the WFP Project Management System.
  • Perform SCOPE and COMET functions as per SOP and guidelines.
  • Report regularly to the Programme Policy Officer (Livelihoods) on relevant events regarding cash disbursements, DRM/DRR and RAHA activities and issues that require immediate actions from the management.
  • Perform other duties and handle tasks as required by management.
